AI Receptionist Disclaimer

Version: 2026-09-07-v2   Effective: September 7, 2026

Please read this disclaimer carefully before creating or using an AdvanVoice AI account. By checking the acceptance box and creating an account, you acknowledge and agree to the following.

1. Artificial intelligence limitations

The service uses automated and generative artificial intelligence. AI-generated speech, transcripts, summaries, classifications, answers, appointments, messages, and actions may be inaccurate, incomplete, delayed, misleading, offensive, or inappropriate. The service may misunderstand callers, names, dates, numbers, accents, background noise, instructions, or context. It may also omit information or produce information that was not provided. No output is guaranteed to be correct.

You are responsible for configuring, testing, supervising, and regularly reviewing the receptionist and its knowledge sources before and during use. You must provide a practical way for callers to reach a qualified human when appropriate and independently verify important information and actions.

2. Not for emergencies or safety-critical use

The service is not an emergency service, emergency dispatch system, alarm system, crisis line, or other safety-critical communications system. It must not be relied upon to contact 911 or other emergency responders, detect emergencies, prevent injury or loss, or deliver time-sensitive safety instructions. You must clearly instruct callers to contact the appropriate emergency service directly when an emergency may exist.

3. No professional advice

The service does not provide medical, legal, financial, insurance, tax, or other licensed professional advice and must not be configured or represented as doing so. It may assist with administrative communications, but professional judgments, diagnoses, treatment decisions, legal conclusions, financial decisions, and similar determinations must be made by appropriately qualified people.

4. Your content, instructions, and business information

You are responsible for the accuracy, legality, and appropriateness of all prompts, scripts, FAQs, business data, caller data, phone numbers, integrations, and instructions supplied to the service. You must have all rights and permissions necessary to provide and use that material. You are responsible for monitoring outputs, correcting inaccurate information, and promptly disabling or updating configurations that could cause harm or confusion.

5. Privacy, confidentiality, and data protection

You are responsible for providing legally required privacy notices, obtaining valid permissions, honoring data-subject rights, setting appropriate retention practices, and using the service consistently with all applicable privacy, confidentiality, consumer-protection, and data-security laws. Do not submit highly sensitive information unless the service is expressly approved and configured for that use.

The service is not represented as compliant with HIPAA, GLBA, FERPA, PCI DSS, or another industry-specific regime merely because an account is available. If your use involves protected health information or other regulated data, you must first confirm that all required contracts, safeguards, settings, and approvals—including any required Business Associate Agreement—are in place. Do not collect payment-card security codes, account passwords, government identification numbers, or other unnecessary sensitive information through the receptionist.

6. Call recording, transcription, and AI disclosure

Laws governing call recording, transcription, monitoring, biometric information, and disclosure that a caller is interacting with AI vary by location. You are solely responsible for determining which laws apply, providing clear notices, obtaining consent from every required party before recording or transcribing, and disabling those features where lawful consent has not been obtained. You are also responsible for any notices identifying the receptionist as automated or AI-powered.

7. Calls, text messages, and marketing

You must obtain and retain every consent required before initiating calls or sending text messages, especially advertising, telemarketing, automated, prerecorded, or AI-generated communications. You are responsible for honoring opt-outs and do-not-call requests, maintaining suppression lists, following calling-time and identification rules, and complying with the TCPA, Telemarketing Sales Rule, CAN-SPAM Act where applicable, carrier rules, and all similar federal, state, local, and international requirements. The service does not determine whether a communication is lawful or whether consent is sufficient.

8. Prohibited and high-risk uses

You may not use the service for unlawful, fraudulent, deceptive, harassing, discriminatory, defamatory, exploitative, or abusive activity; impersonation without authorization; unsolicited spam; emergency dispatch; or decisions that determine a person's eligibility, access, or rights in employment, housing, credit, education, insurance, healthcare, legal services, or government benefits without meaningful qualified human review and all legally required safeguards.

9. Third-party services and telecommunications

The service depends on third parties such as telecommunications carriers, AI providers, hosting providers, payment processors, email providers, and customer-selected integrations. Their availability, security, accuracy, pricing, policies, and performance are outside our control. Calls, messages, recordings, transcripts, and other data may be processed by such providers as necessary to operate configured features. Third-party interruptions or changes may cause degraded service, delays, failed communications, data loss, or unexpected behavior.

10. Availability and business continuity

The service is provided on an availability-dependent basis and may be interrupted, delayed, limited, modified, or discontinued. It is not a substitute for your own staffing, backup phone routing, recordkeeping, cybersecurity, or business-continuity plans. You are responsible for maintaining reasonable fallback procedures and for responding to missed, failed, or incorrectly handled communications.

11. No warranties

To the maximum extent permitted by law, the service is provided “as is” and “as available,” without warranties of accuracy, reliability, availability, merchantability, fitness for a particular purpose, non-infringement, regulatory compliance, or error-free operation. No statement or demonstration creates a warranty unless expressly included in a separate written agreement signed by an authorized representative.

12. Limitation of responsibility

To the maximum extent permitted by law, AdvanVoice AI and its owners, operators, affiliates, suppliers, and service providers are not responsible for indirect, incidental, special, consequential, exemplary, or punitive damages, lost revenue, lost profits, lost data, reputational harm, missed calls or appointments, failed or misdirected communications, inaccurate AI output, or claims arising from your configuration, content, instructions, legal noncompliance, or reliance on the service. Some jurisdictions do not allow certain exclusions, so these limitations apply only to the extent permitted by applicable law.

13. Your responsibility for claims

To the extent permitted by law, you are responsible for claims, penalties, losses, and reasonable costs arising from your content, configuration, communications, violation of law, failure to obtain consent, misuse of the service, or breach of this disclaimer. This does not require you to assume responsibility for conduct that applicable law does not permit us to transfer to you.

14. Changes and separate agreements

We may revise this disclaimer as the service, law, or risk profile changes. A new version may require renewed acceptance. This disclaimer supplements, and does not replace, any separate signed service agreement, privacy notice, data-processing agreement, Business Associate Agreement, or other binding terms. If a signed agreement expressly conflicts with this disclaimer, the signed agreement controls for that conflict.

15. Seek professional advice

This disclaimer is general information and is not legal advice. You should consult qualified counsel about your specific industry, locations, call flows, recording practices, marketing activities, and data before using the service in production.
